Privacy Policy for Adult Education Department, Portmarnock Community School<\/span><\/p>\n

What Personal Data We Collect:<\/span><\/p>\n

1.1 When you register with us as a student, you will be required to provide your <\/span>name, address, phone number, gender and email address. <\/span><\/p>\n

1.2 Your attendance\/non-attendance at class is recorded in every class by the <\/span>tutor.<\/span><\/p>\n

1.3 Students paying over the phone using debit\/credit cards will be asked to <\/span>supply their credit card number, expiry date, name on card and ccv number and <\/span>these will be uploaded to a third-party website dealing with online payments.<\/span><\/p>\n

1.4 CCTV is in operation on the school premises and in the school buildings so <\/span>recordings of your entrance\/exit of the school buildings and premises are <\/span>recorded.<\/span><\/p>\n

  1. Why we collect your data:<\/span><\/li>\n<\/ol>\n

    2.1 Registration & Attendance: The information listed above is collected at <\/span>registration in order to supply a class list to the tutor for the purposes of <\/span>recording attendance.<\/span><\/p>\n

    2.2 Addresses are collected in order to be able to post <\/span>you out any relevant information concerning the course you are signed up <\/span>for. <\/span><\/p>\n

    2.3 We use your mobile phone number to inform you of any cancellation\/change to classes which may occur during the school term (e.g. due to severe weather conditions ) . If the tutor decides to put on an extra few classes or a continuation term, you may also be texted to inform you of this. <\/span><\/p>\n

    2.4 Email addresses are used to send you out an automated receipt of payment and registration for any course you have signed up for and paid. Emails may also be used to send you out any supplementary information regarding your course such as a list of course materials, booklists etc. Emails informing you of upcoming enrolments for future terms will be sent in September and December. <\/span><\/p>\n

    2.5 Your gender is used purely for statistical purposes for our annual returns to the Department of Education and Skills.<\/span><\/p>\n

    1. How we collect your data:<\/span><\/li>\n<\/ol>\n

      3.1 Registration: Most personal data is provided by students when registering at our enrolment evening or through the online registration system (Easy Payments Plus). <\/span><\/p>\n

      3.2 CCTV: Your image may be recorded via closed circuit television (CCTV), <\/span>which has been installed on the school premises and inside the school <\/span>building. The system comprises of a number of cameras installed at <\/span>reception and at each entrance and exit, and some corridors \/ compounds recording <\/span>video images without sound. Our basis for collecting personal data in this <\/span>way is our legitimate interest (Article 6.1(f) of GDPR) in the security of <\/span>our people and premises; to provide evidential material for criminal court <\/span>proceedings. There is signage in place to inform people that CCTV is in <\/span>operation.<\/span><\/p>\n

      3.3 Telephone: We have a telephone voice messaging system in the office to <\/span>record any messages from people who ring when the office is unattended. <\/span>You may or may not wish to leave a message. Messages are deleted once the Adult Education Director has listened to it and followed up on any information left on the system.<\/span><\/p>\n

      1. How we protect your data:<\/span><\/li>\n<\/ol>\n

        4.1 Access to our online databases is password protected and all our <\/span>computers are also password protected. We restrict access to personal <\/span>data to employees, contractors and agents who need to know such <\/span>personal data in order to operate, develop or improve the services that <\/span>we provide. We ensure that we have appropriate physical and <\/span>technological security measures to protect your information; and we <\/span>ensure that when we outsource any processes that the service provider <\/span>has appropriate security measures in place. All our documentation and <\/span>records are securely stored on site.<\/span><\/p>\n

        4.2 We will implement appropriate technical and organisational measures <\/span>to ensure a level of security appropriate to the risks that are presented <\/span>by the processing of your personal data. In particular, we will consider <\/span>the risks presented by accidental or unlawful destruction, loss, <\/span>alteration, unauthorised disclosure of, or access to personal data <\/span>transmitted, stored or otherwise processed. <\/span><\/p>\n

        4.3 Please note that the transmission of information via the internet is not <\/span>completely secure. Although we will do our best to protect your <\/span>personal data, we cannot guarantee the security of any data transmitted <\/span>to our website, or to our office via email, and any such transmission is <\/span>at your own risk. Once we have received your information, we will use <\/span>strict procedures and security features to try to prevent unauthorised <\/span>access. We are not responsible for any delays, delivery failures, or any <\/span>other loss or damage resulting from (i) the transfer of data over <\/span>communications networks and facilities, including the internet, or (ii) <\/span>any delay or delivery failure on the part of any other service provider <\/span>not contracted by us, and you acknowledge that our website may be <\/span>subject to limitations, delays and other problems inherent in the use of <\/span>such communications facilities. You will appreciate that we cannot <\/span>guarantee the absolute prevention of cyber-attacks such as hacking, <\/span>spyware and viruses. Accordingly, you will not hold us liable for any <\/span>unauthorised disclosure, loss or destruction of your personal data <\/span>arising from such risks.<\/span><\/p>\n

        1. Who we share your data with:<\/span><\/li>\n<\/ol>\n

          5.1 All our student registration details and debit\/credit card payments are <\/span>done through Easy Payments Plus, operated by FeePay, Ltd. which is <\/span>our data processor. A copy of their privacy policy can be found here:<\/span><\/p>\n

          5.2 The Adult Education Department shares data annually with the <\/span>Department of Education and Skills (DES). The information we share <\/span>with the DES is anonymised and you personally cannot be identified. <\/span>This sharing of information is for statistical purposes.<\/span><\/p>\n

          5.3 Your attendance record may be shared with an insurance company in <\/span>the event of any query relating to an insurance claim being made by you <\/span>against the school.<\/span><\/p>\n

          1. Direct Marketing<\/span><\/li>\n<\/ol>\n

            6.1 When you clicked to receive email receipt, you also gave consent to <\/span>receive direct marketing via email. We will not send out more than two <\/span>direct marketing emails per school year. You can update your <\/span>preferences and opt out of this at any stage in your profile settings or <\/span>contact us via email or through the office and we can do it for you.<\/span><\/p>\n

            1. Changes to this Policy:<\/span><\/li>\n<\/ol>\n

              7.1 This Policy may be updated from time to time, so you may wish to <\/span>check it each time you submit personal information to us. Any material <\/span>changes to this Policy will be posted on the Adult Education page of the <\/span>school website.<\/span><\/p>\n

              1. Data Subject Requests:<\/span><\/li>\n<\/ol>\n

                8.1 Under Articles 13 and 15 of GDPR, on your request we will confirm if <\/span>we are keeping your personal data and provide it to you in a transparent <\/span>and easily accessible form.<\/span><\/p>\n

                8.2 The Adult Education Department will process data subject access <\/span>requests that meet certain formalities: <\/span>– requests must be in writing; <\/span>– the Adult Education Office is entitled to make reasonable enquiries <\/span>to satisfy itself about the identity of the person making the request to <\/span>ensure that we are not disclosing personal data to a party who is not <\/span>entitled to it under GDPR;<\/span><\/p>\n

                – the person requesting must supply a reasonable level of appropriate <\/span>information to help us to locate the information required (where it <\/span>concerns a recorded image, they should also provide a passport-sized <\/span>photo of themselves); however, no reason for the request needs to be p<\/span>rovided<\/span><\/p>\n
